Contracts & Documentation

Our “point of difference”, we come to you when signing contracts if required, our property manager can then go through the documentation to ensure that you understand the rental process, the documentation required, and what the duties and responsibilities are to be a “landlord” owner investor. The first stage of engaging an agent to manage your property is to sign a Managing Authority, below are explanations of an Exclusive Leasing & Managing Authority and a Residential Tenancy Agreement.

  • Exclusive Leasing & Managing Authority – An agreement between property owner (landlord) and Peninsula Estate Agents (the agent). Once signed by both parties, the Management Authority authorises Peninsula Estate Agents to act as the managing agent on the owner’s behalf in accordance with the owner’s specific instructions.

  • Residential Tenancy Agreement - An agreement between owner (as the landlord) and the tenant. Peninsula Estate Agents can sign the Lease on your behalf as your agent. It is our responsibility to fully explain the Lease document to the tenant and ensure they understand their obligations before signing. It is also our obligation to you to ensure the execution of a comprehensive and legally binding lease to protect your interests as landlord.

Tenant Selection

Peninsula Estate Agents ensures that a strict tenant screening is conducted to choose a reliable tenant. After evaluating the applications with the following process, a summary of all applications is forwarded to you to discuss all recommendations as the final selections of the tenant is made by the owner.

  • Property Managers ask questions whilst showing prospective tenants through properties.
  • Background renting checks are conducted.
  • Tenants are reference checked with current & past employment.
  • Tenants are reference checked with current rental accommodation.

Condition Report

The Property Condition Report is one of the most important documents in Property Management. Therefore having said that, our Property Condition Report is not a computer generated report, they have been designed for each individual property (our point of difference) A Condition Report is a comprehensive report detailing the property internally and externally, supported by photos. Both the landlord and the tenant are given a copy of the Condition Report. The tenant must sign and return the Condition Report within 3 business days of commencing their tenancy. The Condition Report and ingoing photos are used at the end of the tenancy establishing the original condition of the property and forms the basis on which the bond is refunded.

  • Extensive photos are taken and given to yourself.

Rental Payments

Peninsula Estate Agents offers tenants a direct debit and internet transfer system. Our high end property management system detects tenants in arrears after one day and are contacted to ensure that payment has been made. Tenants are informed of the arrears process on commencement of their tenancy. Owners are contacted and kept up to date on their tenants rental payment habits. Our company policy is “we do not tolerate late payers”

  • Prior to signing a commencement of tenancy, tenants are informed of their obligations in regards to their rental payments.
  • Payments are receipted on a daily basis and disbursed to owners on a daily basis.

Maintenance & Repairs

It is a requirement under the Residential Tenancies Act 1997 that properties are in good condition at the start of a lease and that a landlord keeps the property maintained and safe for tenancy. Generally, your Management Authority will specify an expenditure limit for maintenance and your Property Manager will carry out work on your behalf as required. You will be contacted for any work required above this limit. Peninsula Estate Agents has access to an extensive range of skilled and licensed tradespeople to conduct all necessary repairs and maintenance

  • Our high computer system and maintenance operators are strictly dedicated to the maintenance of your property.
  • Our maintenance department operates 24/7 for all emergency situations.
  • You will be contacted with any maintenance issues before engaging a tradesperson.

Routine Inspections

Once a tenancy commences, 3 months after our team conducts a Routine Inspection and thereafter every 6 months. This report is a very important report throughout the tenancy and confirms that the tenants are looking after the property. If the agent finds any damages during this inspection, a 14 day notice to rectify the damages is sent to the tenant.

  • You receive a details report with photos of the property.
  • You receive any maintenance issues which will be required to be addressed.
  • We welcome your attendance as you have the right to enter the property at these inspections.

Insurance

Landlord’s Insurance is always the best way to ensure that you have peace of mind and is very important as an investor. This protects you of any potential tenants causing damage to your property or cause of injury. Landlord’s must maintain the building and public liability insurance where the tenant should insure their own contents. Peninsula Estate Agents strongly recommends specific Landlords’ Protection Insurance is taken out by the landlord to cover many of the unique risks associated with a rental property.

Fees

Peninsula Estate Agents charges a percentage of weekly rent as our Property Management fee. There are additional fees for selecting a tenant, inspections, providing financial statements and other tasks. A detailed list of our fees can be provided to you at our no obligation rental appraisal. All management fees are fully tax deductible as part of your investment expenses each financial year. ​
